Job Description

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the CEO of our company. The ideal candidate will have at least 2 years of experience in a similar role and be able to handle a wide range of administrative and executive support tasks. This is a fast-paced and dynamic position that requires a high level of professionalism, discretion, and attention to detail.

Responsibilities:

  1. Manage the CEO's calendar and schedule appointments, meetings, and conferences.
  2. Coordinate travel arrangements including flight bookings, hotel reservations, and transportation.
  3. Prepare and edit correspondence, presentations, and reports for internal and external stakeholders.
  4. Attend meetings, take minutes, and distribute meeting agenda and materials.
  5. Screen and prioritize incoming phone calls, emails, and mail.
  6. Manage the CEO's contacts and maintain an updated database.
  7. Assist in preparing for board meetings and other high-level executive meetings.
  8. Coordinate and manage special projects and events as assigned.
  9. Handle confidential and sensitive information with the utmost discretion.
  10. Perform general administrative tasks such as filing, photocopying, and organizing documents.

Preferred Candidate:

  1. Minimum of 2 years of experience as an Executive Assistant or similar role, supporting C-level executives.
  2. Bachelor's degree in Business Administration or related field.
  3. Excellent written and verbal communication skills in English.
  4. Strong organizational and multitasking abilities.
  5. Ability to work independently and prioritize tasks effectively.
  6. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and back office software (e.g. ERP)
  7. Detail-oriented with exceptional attention to accuracy and completeness.
  8. Ability to maintain confidentiality and handle sensitive information with discretion.
  9. Professional and polished demeanor with a positive attitude.
  10. Experience working in a fast-paced and dynamic environment.
